The Info Day will walk organisers through the practical aspects of preparing their sessions using the newly developed FTW26 Event Preparation Checklist. This comprehensive guide covers every stage of the organisation process, starting from the definition of the event’s structure and agenda, through to technical setup, speaker preparation, and the essential final checks in the days preceding the activity.
A central part of the session will focus on the online event infrastructure now provided to every participating project. By offering a dedicated streaming environment and registration link, the FTW26 initiative aims to simplify technical management and ensure a consistent experience across all activities. During the Info Day, organisers will learn how to use this infrastructure effectively, what to test in advance, and how to troubleshoot the most common issues.
The second half of the session will be dedicated to communication and dissemination. The FTW26 team will offer advice on how to prepare for the event, and how to make the most of the official guidelines and communication kit. The discussion will also touch on the importance of early visibility, as projects that promote their events sooner benefit from broader reach and stronger engagement.
Participants will also have the opportunity to ask questions, clarify procedural points, and connect with the organising team, who will be available throughout the preparation period to support projects individually. Once their event proposal is approved, each organiser will receive a step-by-step guide, a dedicated communication kit and the registration link that can be shared with prospective attendees.
